Canada GST, HST invoice requirements

In this article we will take you through mandatory details that needs to be there on a Canada Invoice template as it is a legal requirement that ensures the invoice issued is binding.

Business Name:

This is very basic, you must very clearly write your business name on the top of the Canada GST or HST invoice format. Kindly ensure it’s your trading name or name of the intermediary who you have an agreement to supply your goods or services appears irrespective of whether it is Ontario or be it Quebec.

Logo:

This is not important, but if you have a logo, you may want to keep it on all your printable documents like HST Invoices and receipts, it will help you build your brand.

GST, HST registration Number:

The best practice is to have you tax registration number just below your company name. This will help both the parties i.e., you as a seller, when you are filing HST returns and also help your buyer if the buyer needs to claim the HST amount that’s paid. Office Address:

This part of invoice must carry the details of physical address of the business along with official number and details of other channels for communicating with your business.

Date of Invoice:

This is very important, please mention the date of issuing Canada HST invoice.

Invoice number:

To help identify the invoices you issued kindly provide an invoice number.

Invoice Due Date:

Many a times the payment for services or goods delivered is set on a future date after issuing the invoice, please provide the date on which the invoice becomes due. Incase the invoice is due immediately on receipt, please provide the same date.

Purchase order Number:

You may come across instances where the buyer, especially the business buyers would request for your product or services via a purchase order form, you may provide the same number in this section. A good Canada HST invoice format must have this.

Item Description:

This section of invoice contains the details of goods and/or services that you would be selling to your client.

Quantity & rate:

Against each description please provide the quantity and per unit sales price for each item.

Taxes:

In this section, you need to provide the name of the tax. In case of CANADA, it would be HST or GST or could be PST, along with the tax rate.

Notes:

This section of invoice contains any specific information that you would like to share with your client. Like the delivery schedule, vehicle number etc.,.

Terms & Condition:

Last but the most important, please very clearly highlight the terms and conditions of delivering your product and services. Provide details of your return policy and also payment terms. This helps in ensuring you are covered in case of any legal issues. Be very precise and clear.
