Poland VAT invoice format requirements

This article details minimum items that you need to include on an invoice that you create for business within Poland, so that the invoice format is considered to be compliant with the new Poland’s VAT rules.
It also outlines details that are not important or mandated by the law but are good to have to ensure the VAT invoice format is unambiguous. Let’s get into details.

Organization/Company Name, Address, logo:

The foremost thing an invoice must contain is the name of your business, right on the top of the Poland’s VAT invoice template. Please ensure that the name is same as it appears in your VAT registration document.
This section should also carry the information with regards to the physical address of your (seller’s) business along with telephone number and other details of any channel (like email, fax etc.,.) for communicating with your business. If you have a logo, then include that as well, this is optional though.

VAT registration number:

Name of your business should be succeeded by the registration number. This will help both the buyer as well as the seller.
If you are the seller, this will benefit when you are filing VAT returns and also help your buyer if the buyer is a business, it can easily claim VAT that’s paid. This is also a Poland VAT invoice requirement.

Invoice date:

Date on which the VAT invoice template is issued.

Invoice number:

Unique serial number to easily identify the invoice.

Payment due date:

If the payment for the invoice is due on a future date, please provide the same in this section.

Purchase order Number (PO Number):

A precise Poland VAT invoice template must have this. You may come across instances where a business buyer requests for your product or services via a purchase order form, you can provide the same document (i.e., purchase order) number in this section.

Description:

This section of invoice contains the list of all goods and/or services that you would be selling to your client. Please provide as much information as possible to ensure that there is no confusion.

Rate & quantity:

Against each item that you are selling, you need to provide the count of units i.e., the quantity and per unit sales price for each item that you are selling.

Taxes:

In this section, you need to provide the name of the tax. In case of Poland, it would be VAT and also the tax rate, provide the prevailing VAT rate.

Notes:

This part of invoice contains any specific information that you would like to share with your client. Like the delivery schedule, vehicle number etc., Please note, it’s not mandatory to fill this section, you may leave it blank incase it is not relevant and if you are using Top Notepad your final invoice will skip this section if the information is not available.

Terms & Condition:

This is last but the most important section. Please very clearly highlight the terms and conditions of delivering your product and services. Provide details of your return policy and also payment terms. This helps in ensuring you are covered in case of any legal issues. Be very precise and clear.
