Simplest software to create e-invoice with QR code as required by Saudi's new regulation


Here is simple logistics e-invoicing software for creating electronic invoice with QR code as required by ZATCA. Saudi’s new e-invoicing (Fatoorah) regulation requires all logistics businesses to stop issuing manual handwritten invoices and even word or excel invoicing templates are prohibited.

Logistics businesses that are not equipped with technical teams are suggested to use software like TopNotepad, which is e-invoicing ready and other businesses who have internal technical teams can build a solution that meets all the requirements.

E-invoicing regulation requires businesses to:

• Issue and accept e-invoices only. While there is no specific format all the required information must be contained in such invoices.
• Logistics business must ensure that these invoices are exported in PDF or any other format to an offline internal and external archive in order to keep a record of generated e-invoices.
• For simplified e-invoices, a quick response (QR) code with a base64 format and up to 500 characters must be generated and printed. While it is not mandatory for b2b invoices, we suggest all logistics businesses issue invoice with QR code to maintain standard process in issuing invoices.

Below are the details that must be included in a logistics invoice:

• Name and address of your business in the header section
• Put your logo alongside your business name, if you have one
• Client’s name and contact details
• Description of product or service
• Per unit price and quantity
• Details of applicable VAT
• Net amount
• Terms of payment and other conditions
• QR Code

The QR code must include the following information

• Logistics business name
• VAT Number
• Date and time stamp
• VAT Amount
• Invoice Amount
